Advising Office – Student Employee

Description:

This position is for work-study students who are personable, prompt, take initiative and have great communication skills. Duties include:

  • Covering the front desk while Office Assistant is away, answering phone and greeting visitors.
  • Scheduling advising appointments for CHHS students using Microsoft Outlook.
  • Answering basic questions from students, other staff, faculty and community members and/or directing them to other departments as required.
  • Log degree audit adjustments and other forms for students using Microsoft Excel.
  • Make regular deliveries around campus.
  • Special projects from advisors
  • Serve as a mentor to other students for advising related needs
  • Work in an environment that handles confidential student files and paperwork, adhering to FERPA law and regulations
  • Other duties as assigned

Dean’s Office Welcome Desk Assistant

Description:
Serving the College of Health and Human Sciences, the Welcome Desk Assistants work together as a team with the Dean’s Executive Assistant to provide a welcoming and service-oriented front office. Welcome Desk Assistants represent the Dean’s office and Dean’s staff by greeting visitors, supporting the Dean and their staff, and helping to create a welcoming and student-centered environment. The Dean’s Office aims to create an enriching and development-oriented workplace for student employees to thrive.

Goals for this position will be informed by career readiness competences developed by the National Association of Colleges and Employer. Colleges and Employers to promote an engaging and professional experience. Competencies include Career & Self-Development, Communication, Critical Thinking, Equity & Inclusion, Leadership, Professionalism, Teamwork, and Technology.

30% Front Office Responsibilities

  • Follow directions provided to properly open and close the office each day. Duties include preparing the breakroom, light cleaning, and other tasks that create a welcoming environment.
  • Greet visitors and direct them to the proper office, take messages if needed, or respond to their inquiries.
  • Fill copy machine with paper and other office maintenance tasks.
  • Keep an inventory of office supplies and work with the Executive Assistant to maintain and organize a stocked office.
  • Provide IT support for the conference room and office suites, as needed.

30% Student Support

  • Share ideas and help implement student-oriented events and activities.
  • Receive and process student-related enrollment and registration forms.
  • Be knowledgeable about college departments and majors and provide basic introductory information about them.
  • Work with and support the Advising team to schedule student appointments.
  • Crosstrain with student employees in the Advising office to be able to provide support, as needed.
  • Some Welcome Desk Assistants will have the opportunity to participate in the Advising team’s mentoring program, serving as a mentor for other students when a match is identified.

30% Administrative Support

  • Provide exceptional administrative support on projects for the Dean and all Dean’s office personnel.
  • Provide support by checking the main inbox for the Dean’s Office.
  • Provide support to staff on website updates and edits.
  • Provide support for set up of meetings and events.
  • Run errands on campus.
  • Check the mailbox and distribute mail.
  • Answer phones and check voicemail and respond or direct accordingly.

10% Other Duties as Assigned
