Reviewing and Signing Accommodation Letters

  5. Select the Review button next to a letter to open it. The Accommodation Letter will open in a window for you to review. If applicable, attachments will be listed at the bottom of the letter for you to review.
  6. When you have finished reviewing the letter, please acknowledge that you have received and read the letter by typing your name in the Your Signature box and selecting the Sign button.
  7. Select the Return to Home button to return to the Accommodations Hub homepage and continue reviewing letters, if needed.

Uploading Exams

Faculty will receive a notification when a student with exam accommodations has requested to take an exam in our office. Faculty will use the Accommodations Hub to upload exam material to the Access Center’s Accommodated Testing Office. With our new system, faculty can now upload materials individually per student as before or upload material and apply it to all accommodated students in the course.

Uploading for all students

You can complete this process before or after a student has requested a testing appointment with our office. We highly encourage faculty to upload exams proactively to avoid any complications with the adminstration of exams.

  1. Log into the Accommodations Hub.
  2. Select Courses on the navigation menu to the left.
  3. All courses you are teaching will be listed.
  4. Select a course title to view more information.
  5. Select the Exam tab.
  6. Select Add New Exam button.
  7. Complete the Exam Information screen with all necessary information, with particular attention to:
    • Exam Title: Title of your exam (e.g., “Exam 2”). This will help ensure students are scheduling for the correct test at the correct time.
    • Start and End dates: the window during which a student may take th exam. If only permitted on one date, set both to the same date.
    • Confirm the base time for the test in minutes. Our system will automatically calculate any extended time needed based on this.
    • Is this an online exam: Please select Yes if any part of the exam is online.
    • Attachments: Upload the exam copy here. Please ensure that all exam copies provided are accessible.
    • Apply to all records: This is the setting that allows the exam to apply to all students in the same course with accommodations. Ensure this is set to Yes.
    • Exam Return: Select your preference for how our office returns completed exams to you. **PLEASE NOTE: With the new Accommodations Hub, our office will no longer be returning exams via email**.
  8. When you are done, select the Submit button.
  9. Repeat this process for each exam you wish to add.

Uploading for an individual student

You can follow this process to either upload an exam for a single student or upload an exam for one student and apply it to all other students in the course.

  1. Log into the Accommodations Hub.
  2. Select Courses on the navigation menu to the left.
  3. All courses you are teaching will be listed.
  4. Select a course title to view more information.
  5. Select the Alternative Test Room Bookings tab.
  6. There are two sub-tabs:
    • Pending: This tab lists all booking appointment requests that have not yet been confirmed by our office. In general, we will not approve an exam until you confirm the information is correct by uploading exam materials so you will use this tab in most circumstances.
    • Approved: This tab lists all booking appointments that have already been approved by our office.
  7. Under the Pending tab, select a student’s name to open the booking information.
  8. Review information supplied by student for accuracy.
    • If the information is incorrect, please contact us ([email protected]) before proceeding. By submitting an exam and instructions, you are confirming that the information supplied by the student is correct.
  9. Select the Upload New Exam button.

    • Is this an online exam: Please select Yes if any part of the exam is online.
    • Attachments: Upload the exam copy here. Please ensure that all exam copies provided are accessible.
    • Apply to all records: This setting applies the exam to all students in the same course with accommodations. If you wish to have the same information applied automatically for students who request an appointment later, select Yes. Otherwise, select No.
