Cabinet passes new procedure for use of campus-wide listservs

By Donna Fowler

The Presidents Cabinet today approved a new procedure for the use of MSU Denvers listservs: the all-faculty, all-category II faculty, all-administrators, all-classified staff and all-affiliates Lyris lists. Three years ago, the cabinet approved a similar concept denoting Marketing and Communications as a single source for individual University-wide announcements.

The all listservs are now owned and maintained by Human Resources to minimize the number of individual announcements being posted and to support submission of events to the weekly Events @MSU Denver. The new procedure allows for the deans and Athletics to send a weekly compilation of events to the University community, in addition to their publication in Events @MSU Denver.

The use of listservs requires approval from Human Resources. For approval, contact Associate Vice President of Human Resources Judy Zewe at indicating the purpose of the request and reoccurrences of the access. In support of shared governance, the Faculty Senate, Council of Administrators and Classified Council have their own listserv for disseminating information regarding governance activities.

Having HR responsible for maintaining the lists will keep the lists up to date, both in terms of new employees and those who have left, says Zewe. It will also keep these global emails to a minimum as was the original intent for use of the all listservs.

Marketing and Communications will remain responsible for listserv emails that are presidential notices as well as the suite of @MSU Denver online publications.

Department-specific listservs
The many listservs that are specific to a department, normally used for internal announcements or as contact lists, have been closed due to the recent domain name change. According to Zewe, you can reactivate department-specific listservs by contacting Administrative Computing to copy your old listserv. The department will then need to revise the list to reflect the Universitys new email address: Human Resources will not manage these lists.

For questions, contact Zewe.
